Checklist for Meetings/Events/Conferences/Training Thinking about inclusion should form part of your event planning from the start and will benefit all attendees. Please consider the following when planning your event:
ü Start and end times. Are you considering the needs of all attendees? Some may have flexible working arrangements in place or caring responsibilities. Others may be unable to travel at particular times. ü Physical access. This includes transport and parking as well as access to buildings, facilities and rooms. ü Other access needs. Think about meeting papers and other event or training material. Is there a need for information to be made available in large print, Braille or on audiotape? Have you asked if attendees require induction loops or BSL interpreters? If at all possible send papers out prior to the meeting to give people time to read them. This could be important if any attendees have dyslexia. ü Evacuation Procedures. Ensure emergency procedures take into account the needs of ALL and that your attendees are aware of the requirements. ü Dietary requirements. As well as considering the food requirements of your attendees also consider the time that refreshments are available – this could be very important for anyone with diabetes. ü Do not assume anything. Always ask relevant questions at the start of your event planning and then you will have adequate time to make necessary arrangements to meet the requirements of your attendees. This is not an exhaustive list. It is good practice to always ask at the time of invitation if any attendees have any specific requirements. It may not be possible to meet all needs but at least you can have a conversation and come to a mutually convenient compromise. CRB have stated that it is ‘business as usual’ On Tuesday the 15th of June the Government announced that they are intending to remodel the Vetting and Barring Scheme (VBS). They are proposing to place the scheme at ‘proportionate, commonsense levels’. The ISA-registration stage of the scheme, which was due to launch on 26th July 2010 has been stopped. CRB have stated that it is ‘business as usual’, and the elements of the VBS that were put in place in October 2009 still stand, CRB checks can still be applied for in the usual way through your umbrella body. The CRB are still intending to launch the new application form as planned on 26th July, but they will ignore the parts of the application that would capture ISA registration requirements, and only use the fields that are required to process a CRB check. If you have any queries regarding this information please consult the CRB website on: www.crb.homeoffice.gov.uk or contact Judith Berry via email: judith@westnorfolkvca.org
